Job Summary

Provides support and assists with the overall administration of Facilities and Operations Departments. Coordinates the support staff activities within a department. Assists with financial planning, goal setting, policy and procedures planning and implementation. Oversees the usage and maintenance of departmental resources.

Responsibilities

  1. Greet visitors in a courteous and professional manner as the first point of contact.

  2. Direct visitors and callers to the appropriate office or individual within the building.

  3. Maintain a tidy and organized front desk area to present a professional image.

  4. Manage incoming and outgoing mail, including sorting, distributing, and logging packages.

  5. Monitor and maintain inventory of office supplies and order replenishments as needed.

  6. Coordinate scheduling and reservations for conference rooms and shared spaces within the building.

  7. Provide assistance with technology equipment check-out and troubleshooting for staff and faculty.

  8. Foster positive relationships with building occupants and external contacts to enhance the overall experience.

  9. Collaborate with other administrative staff to support departmental needs and initiatives.

  10. Assist with administrative tasks such as filing, data entry, and document preparation as required.

  11. Serve as a resource for staff and faculty, offering support and assistance with various tasks and projects.

  12. Uphold confidentiality and discretion in handling sensitive information and situations.

  13. Respond promptly and professionally to inquiries and requests via phone, email, and in-person interactions.

  14. Continuously seek opportunities for improvement in processes and procedures to enhance efficiency and effectiveness.

  15. Adhere to organizational policies and procedures while performing duties with integrity and professionalism.

Minimum Qualifications

Bachelor’s degree or equivalency (2 years related work experience may be substituted for 1 year of education) in a related area and a strong commitment to providing excellent customer service and effective communication skills required. Strong coordination and organizational skills required to prioritize conflicting deadlines. Ability to work independently, analyze, and make decisions to provide support to internal and external customers.
